Drain relining for facilities management needs one traceable identity for the affected pipe. The same asset reference should appear on the survey, work order, permit, quotation and final record so the crew and the maintenance team are discussing the same run.
The brief also needs the local facts that an asset drawing may not show: who uses the drain, when discharge can stop and whether a chamber sits in a loading bay, public route or controlled area.
Identify the pipe on paper and on site
Give the drainage company the maintenance reference and the name used by the people at the property. Mark the starting chamber on the latest drawing and attach the survey that follows the route to the defect. Where part of the route remains uncertain, leave it marked for tracing rather than presenting an assumption as fact.
A usable asset reference has a physical location
A work order that names only a building or system can still send a crew to the wrong cover. A chamber photograph or marked drawing makes the reference useful at ground level.
Where drainage work falls within a wider construction project, HSE guidance explains the duties of a commercial client under CDM. The organisation’s competent advisers should decide how those duties apply.
State the operating restrictions separately
The facilities team, not the drainage company, knows which tenants, departments or plant discharge into the pipe. It should confirm the available isolation period, the person who can authorise it and any alternative arrangements required for affected users.
Site information that changes attendance
- Induction, permit and escort requirements.
- Vehicle, loading or public access around the working chamber.
- Other contractors sharing the same route or work area.
- The contact who can stop and restart drainage use.
These controls belong beside the technical survey but do not decide whether the pipe can be lined. The appointed drainage company remains responsible for assessing the condition and proposed method.
Keep the repair boundary clear in the work order
The quotation should identify the section to be cleaned and treated, the connections included and any pipe left outside the scope. If preparation exposes a collapse or wider damage, the revised finding should be added to the same asset record before extra work is approved.
Survey
Record the known chamber, direction, distance and visible defect under the site’s asset reference.
Repair
Use the same reference for permits and work instructions, including the agreed start and finish.
Handover
Return completion footage, repair details and exclusions to the maintenance history for that pipe.
Records that remain useful later
Store the original and final footage together with any approved scope change. A later contractor can then distinguish the treated section from neighbouring drainage and avoid repeating the location work.
The facilities manager template can organise the first brief. Use the quotation checklist to compare the technical limits before appointment.
If the maintenance system and site team use different names for the drain, retain both. That small cross-reference is often more useful than introducing a new contractor-only label.
Facilities management questions
Who should decide when drainage use can stop?
The facilities team should confirm the operational window. The drainage company states the technical restriction its method requires.
What if the site drawing is out of date?
Mark the uncertainty and arrange tracing or a fresh survey. Do not assign a repair to an unconfirmed route.
